Eva has two separate controls for what a person sees. One is permissions, which decide which sections they can enter. The other is data visibility, which decides how much they see inside those sections. This page is about the second one, and it is configured in Settings, under Members, on the Roles & Permissions tab.

What you will get

Each sales rep opens the Inbox and sees only their conversations, their contacts, and their opportunities, instead of the whole team’s.

Requirements

  • The Owner or Admin role.
  • The Advanced Settings module turned on.
  • A clear idea of who is responsible for what, because the rule is based on assignments.

Shared or Personal

The Data Visibility card has two options, and it affects the whole workspace at once. With Personal, each sales rep sees:
  • Inbox — only assigned conversations.
  • Contacts — only assigned contacts.
  • Pipelines — only assigned opportunities.
  • Calendars — only their own events.
  • Dashboard — only their metrics.
This is not a cosmetic filter. Eva applies it on the server, in the queries themselves, so a sales rep cannot reach the hidden records through any screen.
Personal also hides whatever has no owner. A conversation that arrives unassigned does not appear in any sales rep’s Inbox until someone assigns it. If your team works by picking up new conversations from a shared queue, Personal breaks that habit.
There is one exception in the sales rep’s favor. If a conversation is linked to an opportunity of theirs, they can open it even when they are not the assignee. It opens read-only, with no way to reply.

Change the workspace visibility

Open the roles tab

In Settings, open Members and then the Roles & Permissions tab.

Choose the option

On the Data Visibility card, select Personal or Shared. The option in force is marked Active.

Confirm

When switching to Personal, Eva asks Switch to Personal? and warns that sales reps will only see data assigned to them. Select Switch.

Restrict a teammate to certain agents

Data visibility applies to the whole workspace. If on top of that you want someone to work with only one of your agents, that is adjusted person by person.

Open the person

In Members, on the teammate’s row, select their role in the Roles & Permissions column. That person’s permissions screen opens.

Turn on the restriction

Under Agent access, turn on Restrict to specific agents. The list of agents with checkboxes appears.

Choose the agents

Check the agents that belong to them. At least one must be checked before you can save.

Save

Select Save changes.
From then on, that person only sees conversations, contacts, opportunities, and analytics for the checked agents. The Owner cannot be restricted: the owner always reaches every agent.

How to know it worked

On the Data Visibility card, the chosen option shows the Active label. The real test is to ask a sales rep to open the Inbox and tell you how many conversations they see.
The change takes up to 45 seconds to apply, because Eva keeps permissions in memory for that long. If the person checks right away, they can still see the old view. Wait a minute and ask them to reload the page before reporting a fault.

If something goes wrong

Check that the Data Visibility card marks Personal as Active, and wait a minute for it to apply. If it persists, check who those conversations are assigned to: if they are assigned to that person, the rule is doing the right thing.
With Personal, a conversation with no owner does not appear in any sales rep’s Inbox. Assign those conversations, or go back to Shared if your team works from a shared queue.
That is how it works. Personal limits sales reps; the owner and the admins keep seeing all the workspace data.
With Restrict to specific agents turned on, at least one agent must be checked. Eva warns with Select at least one agent for scoped access.
